Definition-

How report write?
  • Declare the report's purpose first, followed by the source of the information. 
  • Subheadings can help the layout stand out. Adhere to a logical structure, such as: 
  • Introduction 
  • The issue(s) (Give each issue a separate section) 
  • Final thoughts and suggestions 
  • Assume that the reader of the report has asked you to do so and merely requires a quick explanation of the circumstances. 
  • Use a stiff, indifferent tone. 
  • Keep the spotlight off certain people by using the passive voice: 
  • Concerns about... were expressed... were proposed... 
  • Additionally, when making recommendations and drawing conclusions, you should be objective: 
  • ...would be ideal... 
  • The university may take into consideration... is advised…

Example-

Upgrades to Oak Hall 

Introduction 

The purpose of this study is to outline issues with Oak Hall of Residence and to suggest potential maintenance work to address them. 250 students who live in the building attended a meeting on May 12 when the two main issues were discussed. 

Problem: Room temperature 

Many students lamented how hot the bedrooms on the second floor are. Lack of sleep and students finding it challenging to study in their dorms were also highlighted as issues. It was suggested that air conditioning might be a solution. 

However, there isn't any money left in the budget for this academic year to add air conditioning. Additionally, as students cannot be present in the building while the work is being done, installation may only be done during holidays.

Conclusion:

Considering the aforementioned elements, August would be the ideal month for air conditioning installation. The institution can think about providing fans to each second-floor room until then so that students can study and sleep peacefully.
